Navigate to the Schedules page from the main menu and click "Create Schedule". You'll be guided through selecting a location, date range, and adding shifts. You can drag and drop shifts onto employee slots or use our AI-powered auto-scheduler to generate an optimized schedule automatically.
After registering, you'll go through our onboarding flow where you can set up your organization details, add locations, define positions, and invite team members. You can also access organization settings anytime from Settings → Organization to update business hours, time zones, and other preferences.
Go to Team → Invite Team Members and enter email addresses for your employees. You can send individual invites or bulk import from a CSV file. Team members will receive an email invitation with instructions to create their account and join your organization.
Locations represent physical places of business (like different stores or branches). Within a location, you organize your team with positions (like "Line Cook" or "Server"), and each position can carry a department label (like "Kitchen" or "Front of House") for grouping. Employees are assigned to locations and positions, which control schedule visibility and permissions.
Click your profile icon in the top right corner and select "My Profile" to update personal information, notification preferences, and security settings. Organization-level settings (billing, integrations, roles) are available under Settings → Organization for users with appropriate permissions.
EpicShifts works on any modern web browser (Chrome, Firefox, Safari, Edge) on desktop, tablet, or mobile. For the best experience, we recommend using the latest version of your browser. Our mobile apps are available for iOS 13+ and Android 8+.
Download the EpicShifts app from the App Store (iOS) or Google Play Store (Android). Log in with the same credentials you use on the web. The mobile app lets you view schedules, clock in/out, request time off, swap shifts, and receive push notifications for schedule changes.
Go to Settings → Plan & Billing and click "Upgrade Plan" to view available subscription tiers. Select the plan that fits your needs and enter payment information. Your new plan features will be available immediately, and billing will be prorated for the current period.
We accept all major credit cards (Visa, Mastercard, American Express, Discover) and debit cards. Payments are processed securely through Stripe. For enterprise plans, we also offer invoice billing with NET 30 terms upon request.
You can cancel anytime from Settings → Plan & Billing by clicking "Cancel Subscription". Your account will remain active until the end of your current billing period. After cancellation, you'll be moved to the free plan automatically. All your data is retained for 90 days in case you decide to resubscribe.
Yes! You can switch between monthly and annual billing from Settings → Plan & Billing. Switching to annual billing saves 20% and is prorated based on your remaining subscription time. Changes take effect at your next renewal date.
All invoices are available in Settings → Plan & Billing under the "Billing History" section. Click the download icon next to any invoice to get a PDF copy. Invoices are also automatically emailed to your billing email address after each payment.
Your 14-day free trial includes full access to all Business plan features. When your trial ends, you'll be prompted to select a paid plan to continue using EpicShifts. If you don't upgrade, your account will be moved to the free plan with limited features. Your data is never deleted.
Yes! Annual billing saves you 20% compared to monthly billing. For example, the Business plan is $79/month or $758/year with annual billing—saving you $190 per year. Enterprise plan customers can contact sales for custom pricing and additional volume discounts.
In the schedule builder, click on an empty time slot or click "Add Shift" button. Enter the shift details including start time, end time, position, and assign an employee. You can also create open shifts that employees can claim themselves, or use shift templates for recurring patterns.
Open shifts are unassigned shifts that employees can claim on a first-come, first-served basis. Create an open shift without assigning an employee, and it will appear in the Open Shifts Marketplace. Employees can browse and claim shifts that match their availability and skills.
Yes! Employees can request shift swaps with coworkers through the mobile app or web interface. The swap request must be approved by a manager before it takes effect. You can configure auto-approval rules or require manual approval for all swaps in Settings → Scheduling Preferences.
Save any shift as a reusable template, then give it a recurring pattern — daily, weekly (including every-2-weeks), or monthly, with an optional end date. From Schedule → Shift Templates, managers can generate weeks of shifts from a template in one step, with a preview before anything is created — on every plan, including Free. You can also use "Copy Schedule" to duplicate an entire week, and shifts created either way can be edited or deleted individually without affecting the template.
Employees can submit time-off requests through their dashboard or mobile app. Managers receive notifications and can approve or deny requests from the Team → Time Off page. Approved time-off automatically blocks out those dates in the schedule to prevent accidental assignment.
Absolutely! In the schedule view, click "Actions" and select "Copy Schedule". Choose the target week(s) and EpicShifts will duplicate all shifts, maintaining the same employees, times, and positions. This is perfect for creating consistent weekly schedules or planning ahead for seasonal patterns.
Click "Export" in the schedule view and choose your format (CSV, Excel, or PDF). CSV/Excel exports include all shift details ready for payroll, while PDF generates a printable schedule for posting. On Business and Enterprise plans you can also have each week's published schedule automatically emailed to your payroll contact (Location Settings → Automatic Exports).
Go to Team page and click "Invite Team Members". Enter employee email addresses and select their role, positions, and locations. They'll receive an invitation email with a link to create their account. You can also use bulk CSV import to add multiple employees at once.
EpicShifts has four main roles: Owner (full access, billing), Admin (manage all settings except billing), Manager (create schedules, manage team), and Employee (view own schedule, request time off). Custom roles can be created with specific permissions in Business and Enterprise plans.
Permissions are controlled through role-based access control (RBAC). Each role has specific permissions for viewing, creating, editing, and deleting data. For example, Managers can create schedules for their locations but can't change billing settings. Organization Owners can customize permissions for custom roles in Settings → Roles & Permissions.
Employees can set their availability preferences in their profile, specifying which days and times they're available to work. Managers can view and override availability when needed. The auto-scheduler automatically respects availability constraints when generating schedules, and you'll see warnings if assigning shifts outside available hours.
You organize employees by location and position. Positions can carry a department label (Kitchen, Sales, Support, etc.) so schedules and reports group naturally. Manager access is scoped by location — a manager assigned to a location manages that location's team and schedules.
Go to Team, find the employee, click their name, and select "Deactivate Employee". Deactivated employees can't log in and won't appear in schedule assignments, but their historical data is preserved for reporting. You can reactivate them anytime if they return. Deleting an employee is also possible but removes all their data permanently.
Check your spam/junk folder first. If you still don't see it, return to the login page and click "Resend verification email". Make sure to check the email address you registered with. If problems persist, contact [email protected] for assistance.
Click "Forgot Password" on the login page and enter your email address. You'll receive a password reset link within a few minutes. Follow the link to create a new password. If you don't receive the email, check your spam folder or contact support.
Common login issues include: unverified email (check your inbox), incorrect password (use forgot password), account deactivated, or browser cookies disabled. Make sure you're using the correct email address and that your account has been verified. Clear your browser cache and try again. If issues persist, contact support.
Check your notification preferences in My Profile → Notifications to ensure the notification types you want are enabled. For mobile push notifications, verify that notifications are enabled in your device settings for the EpicShifts app. Email notifications may take a few minutes to arrive - check your spam folder if you don't see them.
Try refreshing the page (Ctrl+R or Cmd+R). If that doesn't work, clear your browser cache and cookies, or try a different browser. Check your internet connection and make sure you're not behind a restrictive firewall. If the problem persists, check our status page at status.epicshifts.com or contact support.
